Historic Volkswagen Club Privacy Notice

As set out in GDPR the Historic Volkswagen Club is classed as a data controller.  In line with those regulations the purpose of this notice is to set out:
• What personal data is held by the Club
• Why it is held
• How long it is retained
• Who it is shared with 
• Your rights as a data subject. 

Personal data held by the club
When you become a member of the Historic Volkswagen Club or when you renew your membership we may ask for some or all of the following personal information:
• Contact details – e.g. your name, address, email and telephone number
• Payment details – your bank account number, sort code and card details
• Car details – the make, model and registration number of your historic vehicle

Why the club holds the data
To allow the Club to provide you with core member services including confirmation of membership, end of year renewal, magazine circulation and organising club activities

To provide other services which verification of membership in order to be accessed such as updates about club activities, technical advice, car valuations, DVLA queries. 

Who the club shares your data with
When you register your membership with the club, your data will only ever be accessed by committee members and only those who have a legitimate need to have that data.

How your data is protected.
Your personal information once processed is stored in electronic format which is password protected.

How long the club will keep your data
The club only keeps personal information for as long as necessary to provide members with core and member specific services. 

The club will review and delete personal information when a member does not renew their membership with us for one year after expiry of their membership.  

Your rights
You have a right to:
• Change your communication preferences restrict the processing of your personal data for specific purposes
• Request that the Club corrects your personal data if you believe it is inaccurate or incomplete
• Request that we delete your personal information
• Access the personal data we hold about you.

Cookies
This site uses the following types of Cookie
session cookies which are stored only temporarily during a browsing session in order to allow normal use of the system and are deleted from your device when the browser is closed.  They do not log any personal information.
• persistent cookies which are read only by the Site, saved on your computer to allow for normal use of the system to trigger updates when the content is updated.
third-party cookies provided by Google Analytics to collect information about your use of the Site.  Google Analytics collects information such as how often users access the Site, which pages they visit, when they do so, etc.  We use the information we obtain from Google Analytics only to improve our Site and services.  Google Analytics collects the IP address assigned to you on the date you visit sites, rather than your name or other identifying information.  We do not combine the information collected through the use of Google Analytics with personally identifiable information.  Google's ability to use and share information collected by Google Analytics about your visits to this Site is restricted by the Google Analytics Terms of Use and the Google Privacy Policy.
